NCPTA Active Councils for 2018-2019 Reflections

If your county is listed below, then you must submit Reflections entries through the appropriate PTA Council.

Please check your county council’s information for the number of allowable entries, deadline, mailing address, and any additional requirements for sending entries to the next level of judging.

Before you submit any art to the County level, please ensure that your local unit is in Good Standing by visiting https://ncpta.org/index.php/leaders/leadership-tools-for-officers/good-standing-requirements/. All Units that are not in Good Standing will be disqualified from judging!

THERE WILL BE NO PHYSICAL DROP OFF OF ART FOR JUDGING. Each local unit will need to create a Reflections GMAIL account to be named [email protected] example. (If you created an account last year Please clean all of last years art entries out and continue to use that account, if not please create an account using this example:  [email protected].  This will give your unit a Google drive file storage.

Upload, store and share your completed (both sides) Local Unit Participation Form https://ncpta.org/wp-content/uploads/2018/08/Local-PTA-Participation-Form-USE-THIS.pdf all of your schools reflections Student Entry Forms https://ncpta.org/wp-content/uploads/2018/08/Entry-Form.pdf and art submissions that you wish to be judged on the county level.

You will share your reflections google drive with [email protected] for judging.

Your Reflections google drive should contain a separate folders for each category that you are submitting art for: Dance Choreography, Film Production, Literature, Music Composition, Photography, Visual Arts, Special Artists in which you will store the art entries and their corresponding student entry form. (if you do not have an entry for a category, please do not create a folder for that category.

This must be reflected on the Local PTA Unit Participation Form).

a) There should be a folder for each category they submit art for AND their Local Unit Form (Please complete both sides)

b) In each Category Folder, there should be an appropriate grade folder if elementary labeled Pri or Primary & Int or Intermediate, This doesn’t apply to Middle and High School

b1) In each Category Folder, there should be a Student Folder for each student’s piece of art using the correct naming convention (same as the file naming convention).  This folder must include the art piece file USING THE CORRECT FILE FORMAT AND SIZE,  IF THIS IS NOT CORRECT THE ENTRY WILL BE DISQUALIFIED, and the completed Student Entry Form for this 1 piece of art. IF EITHER OF THESE ARE MISSING FROM THE STUDENTS FOLDER, THE ENTRY WILL BE DISQUALIFIED!

Students can have multiple entries in the same or multiple categories and within the folder there must be a Student Entry form to accompany each piece of art. Each entry must have a separate student entry form. Student Entry Forms must be filled out completely (both sides), be legible (Ink is Required), have a title and an artist statement OR THEY WILL BE DISQUALIFIED. CHAIRS

  1. Be sure to email your contact information (name, phone, email and school name) to Renee & Lori ~ [email protected] so you are included on our Reflections distribution list. This assures you will receive updates, including any additional details regarding drop-off, as well as, other upcoming dates.
  2. Make sure paperwork for each of your student entries is complete when you arrive

(school name and ID, Reflections chair’ name/contact info, student/parent signatures etc.).

  1. Please ONLY USE the forms found on NCPTA.org

(and not forms from any other school site or location, including National PTA.)

  1. CATEGORY SPECIFICS ~
    Visual art:

Please submit originals (inc photo prints required with 3D entries), no digital submission required.

Photography:

submit 8×10 print mounted on sturdy backing. In addition to the print you may also include the original digital photo on a thumb drive. No digital files will be accepted without accompanying print.

Literature: 

original printed on 8.5×11 paper. You may also include Word document file on thumb drive, however no digital files will be accepted without accompanying print of text.

Film, Music and Dance 

must be submitted digitally on thumb drive and adhere to all file size, format and naming rules.

Packaging: 

Please firmly attach the COMPLETED student entry form to the outside of the entry (back of visual art, 3D, photography; front of 9×12 envelope that contains dance, film and music thumb drives; for literature, staple top to front of manila folder and enclose writing entry inside folder.

  1. Please be patient and allow time for us to go through your entries to ensure they are coded and listed on our WSFC form. This helps assure you get everything back safely.

The Reflections celebration for county winners is in the planning stages and we’ll share that info once finalized. Let us know if you have additional questions, and thanks for your support of the Reflections program!!

School PTAs may submit a total of up to 30 entries from any combination of the 6 categories.

 

There is no limit to the number of Special Artist submissions accepted and they do not count toward your total of 30 entries.
